Pending payments and payment reminders

If an invoice goes unpaid, your account sends friendly reminders on days 1, 3, 7 and 14. You can see what you're owed without chasing anyone.

Updated

Getting paid without being pushy is an art. Your account helps: when an invoice passes its due date unpaid, the customer receives polite reminders, always with the link to pay.

What happens when an invoice is overdue

  1. The customer's profile gets the billing:pending tag.
  2. The customer gets a reminder with the payment link by email, and by SMS if you have it on.
  3. On days 1, 3, 7 and 14 after the due date, new reminders go out (by email, and by SMS if you have it on).
  4. On day 7, you get an alert and a task is created to call the customer kindly.
  5. On day 14, a last reminder goes out as a text.

When the customer pays, the tag is removed by itself and the reminders stop.

If your policy allows it, offer a payment plan when you call. Many customers pay when they're given a comfortable way out.

See what you're owed

  1. Click Payments › Invoices & Estimates.
  2. Filter by status Overdue or Pending.
  3. You can also search the billing:pending tag in Contacts. See Saved lists and filters.

Resend a payment by hand

  1. Open the invoice.
  2. Click Resend to send it again.
  3. Or copy the payment link and paste it in the conversation. See Payment links.

If something goes wrong

  • The customer says they already paid: check Stripe to see whether the payment arrived. If they paid outside the app, write to us and we'll mark the invoice as paid. See A payment isn't showing in the app.
  • No reminders go out: check the customer hasn't unsubscribed from messages.
  • You want a different rhythm: ask us by email.
